ApprovalMax automatically retries recurring requests if something goes wrong during creation — for example, when there’s a temporary connection issue or missing data.
This retry system ensures that your scheduled requests aren’t lost and continue to run as expected once the issue is resolved.
If all retry attempts fail, ApprovalMax will disable the Scheduled Request Template and send an email notification to the template’s author with details about the error and next steps.
This is how it works
When a recurring request fails to be created, ApprovalMax automatically retries several times over a defined period before stopping further attempts.
Here’s how it works step by step
Initial attempt
The system tries to create the recurring request at the scheduled timeIf the attempt fails
ApprovalMax automatically retries based on the following schedule:1st retry after 5 minutes
2nd retry after 30 minutes
3rd retry after 1 hour
4th retry after 6 hours
Final retry after 12 hours
Retries within each attempt
Each failed attempt is retried up to three times in quick succession — after 2, 4 and 8 seconds — to catch short network or server interruptionsIf all retries fail
The Scheduled Request Template is automatically disabled
The author receives an email notification explaining the reason for the failure
Email notifications
ApprovalMax sends different types of failure emails depending on the cause of the issue:
1. Server or temporary system issues
If the failure is caused by something out of your control — for example, a temporary server outage or a brief connection problem — ApprovalMax will:
Retry the request multiple times automatically
Send an email notification to inform you that the last attempt failed
In this case, the Scheduled Request Template remains active and no further action is required. However, if you continue experiencing issues, please contact our Support team.
2. User or Organisation configuration issues
If the failure is caused by missing or invalid data — for example, an inactive Organisation, missing fields or an outdated connection — ApprovalMax will:
Disable the Scheduled Request Template to prevent further failed attempts
Send an email notification explaining that the template was deactivated and needs review
Once you’ve corrected the issue, you can re-enable the template manually in ApprovalMax.
