How to edit or delete a Scheduled Request Template

This article explains how to edit, delete or temporarily disable a Scheduled Request Template in ApprovalMax.

All users assigned as Requesters in the Purchase Order workflow can edit or delete the templates they’ve created.

Please note: This feature is currently available in beta for Xero-connected Organisations. If you'd like to enable it, please contact us.

Please note: This feature is currently only available for Purchase Order requests.

This is how you edit a Scheduled Request Template

You can modify any field of an existing Scheduled Request Template, including the scheduler settings.

  • In the main menu, go to Scheduled request templates:

  • Open the template you want to edit.

  • On the Edit Scheduled Request Template form, update any of the template fields:

  • To modify the schedule, click on Edit scheduler and adjust the recurrence settings as needed. Then save your changes:

  • Once you’ve made your changes, click on Save template in the top right-hand corner:

Your updated template will appear in the Scheduled Request Templates list:


This is how you delete a Scheduled Request Template

If you no longer need a template, you can delete it permanently.

  • In the main menu, go to Scheduled request templates:

  • Open the template you want to delete.

  • On the edit form, click on the Bin icon in the top right-hand corner:

  • In the confirmation pop-up, click on Confirm to delete the template:

Important: Once deleted, a template cannot be restored.


This is how you disable a Scheduled Request Template

If you want to temporarily stop recurring requests without deleting the template:

  • Go to the Scheduled Request Templates section and open the template.

  • On the edit form, toggle off the Scheduler:

  • When disabled, no new recurring requests will be created:

  • Click on Save template to apply the change:

  • The updated template will appear in your Scheduled Request Templates list with Disabled shown in the Schedule Status column:

  • You can re-enable the scheduler at any time by toggling it back on.
