Can I add credit notes to a Batch Payment?

Not directly. Batch Payments in ApprovalMax Pay are built from approved Bills only, so credit notes cannot be added to the batch.

You can still make sure you never overpay a vendor. Allocate the credit note to the Bill in QuickBooks Online first, then create the Batch Payment as usual.

How it works

ApprovalMax pays each Bill based on its remaining Amount Due in QuickBooks Online, not its original total. When you allocate a vendor credit to a Bill, QuickBooks Online lowers that Bill's Amount Due.

Before processing a payment, ApprovalMax checks the payment amount against the Bill's remaining Amount Due in QuickBooks Online. If the payment amount exceeds the outstanding balance, ApprovalMax blocks the payment to prevent overpaying the vendor.

How to pay Bills with applied credit notes

  1. In QuickBooks Online, apply the vendor credit to the Bill you want to pay.

  2. Make sure ApprovalMax has synced with QuickBooks Online to retrieve the updated Amount Due.

  3. In ApprovalMax, create a Batch Payment as usual using the approved Bills. The batch payment will include only the remaining amount owed.
