How to set up a Batch Payment workflow

This is how you set up a Batch Payment workflow:

  • Find your Organisation and open Approval Workflows under Workflows And Settings:


  • Select the respective approval workflow:


  • The first step is Batch Payment Creation. Here you can add users who are allowed to create such requests in ApprovalMax.
    If you want to restrict the Requesters, click on theicon to configure their user rights:

Important note: Contact payment details can be created either in advance in the workflow settings, or during Batch Payment creation if the Requester was granted the respective permissions.

  • The next steps are approval steps. Via the icon, you can add as many of these as you have authorisation levels in your Organisation. Each approval step has its own approval rules and you can add any number of Approvers. To set up the approval rules, click on theicon:




  • When you have added all Approvers and specified the rules for them, decide which approval condition you prefer. When there are multiple Approvers for the same Batch Payment, you can choose whether the approval of All or Any of them is needed to complete this step:


  • In the following step you can add users who are allowed to authorise payments via ApprovalMax:


    All specified Payers will receive the approved Batch Payment and are able to make the payment.

  • When all steps, rules, and the approval condition have been set, activate the workflow.
