You can create Contact payment details in ApprovalMax in two ways:
Under Workflows and settings → Contact payment details
While creating a Batch Payment request
These details are used to define where payments for a specific contact should be sent.
Please note: It is important to grant user permissions to allow access to the Contact Details section.
Create Contact payment details from Workflows and settings
Find your Organisation and open the Contact Details page under Workflows and settings:
Select the Contact you want to add payment details for.
Click on the +ADD PAYMENT DETAILS button.
Enter the required values in the New Payment Details pop-up window:
Click on SAVE.
Create Contact Payment details from a Batch Payment request
Start the creation of a Batch payment request.
Click on the Payment Details field and select "Add payment details":
Enter the required values in the New Payment Details pop-up window:
Click on SAVE.
What if I already have financial details for this contact in Xero?
If your contact already has bank details stored in Xero, ApprovalMax will automatically check for and sync any available bank details for contacts during the connection.
Here's how it works:
For example, in Xero, the contact Bank West has the following financial details saved under their contact record:
When you open the same contact in ApprovalMax under Workflows and settings → Contact details, these financial details will be shown under the Financial details section at the bottom of the screen:
However, after financial details are synced from Xero, you’ll still need to manually create the Contact payment details in ApprovalMax.
To create payment details, just click on +ADD PAYMENT DETAILS, all bank details from Xero will be automatically prefilled, check the information is correct and click SAVE:
Please note: If new contact payment details are added in Xero, they’ll be imported into ApprovalMax either automatically during the next sync or manually by triggering a sync.
