NetSuite data entry rules for ApprovalMax Capture in General Availability

You can now create data entry rules for Bills uploaded via ApprovalMax Capture in Organisations connected to NetSuite. Overwrite default settings and set rules per Vendor for fields like Currency, Account, Tax and Class — or even split costs and apply conditional coding on line level.

Enhanced view for entering payment details with ApprovalMax Pay available in beta

When paying Bills with ApprovalMax Pay inside the Batch Payments workflow, you can now add payment details directly in the split view. No more blocking pop-ups - your Bill stays fully visible, making it easy to copy information, verify details, and complete payments quickly and confidently. Improved stand-alone workflow creation

We’ve streamlined the process of creating stand-alone workflows. Instead of jumping straight into setup, you’ll now start with a clean pop-up to name your workflow.

Once you click on Create, ApprovalMax builds the workflow in the background and directs you to the setup page, making the setup process smoother and easier to complete from the start.

Improved SuiteTax-based Tax field visibility

We’ve refined how tax information displays for NetSuite Organisations using SuiteTax. When the Tax Model is set to SuiteTax, ApprovalMax now automatically hides non-SuiteTax fields and shows the correct SuiteTax components on both the request View and Edit forms. You’ll only see the tax fields that are relevant to your setup, keeping the interface cleaner and better aligned with NetSuite’s SuiteTax configuration.

What's Fixed

In general

  • We’ve fixed an issue where the due date wasn’t being prefilled when converting a Purchase Order to a Bill in Xero or QuickBooks Online. ApprovalMax now correctly applies the expected payment-terms logic based on Contact or Organisation settings.

  • An issue preventing attachments from opening in retired/read-only Organisations has been resolved.

For Xero

  • Batch Payments no longer get stuck after an Approver is removed. The payment now correctly moves to the Awaiting Payment status and can be processed.

  • Recurring Request notifications now display the next creation time in the company’s time zone, based on the Organisation’s settings, instead of defaulting to GMT.
