How to pull Expense reports from NetSuite

Updated over a month ago

You can configure ApprovalMax in a way that it pulls all Expense reports in the Pending Approval status from NetSuite and starts the respective approval workflow for them.

This is how it works

  • Go to the Expense Report workflow, click on the Add Requester button under the Pull From Oracle NetSuite tab and enter a Requester:

  • By default, the Account Owner is set as a Requester for Expense reports. If you want to change the default Requester, hover over the Requester's name, delete the Requester and add a new one:

  • When finished, don't forget to update/activate the workflow.

Unfortunately, ApprovalMax does not know the details of who has created which Expense report in NetSuite, so all Expense reports are created in the name of the particular user selected in the Pull From Oracle NetSuite step.

Therefore, we recommend selecting a generic email address at that point, such as [email protected], because this user will be notified about key Expense report events like approvals, rejections, comments.
