How to upgrade your subscription

If you want to upgrade your subscription (change the plan, increase the number of Organisations, switch to the annual billing), open the Subscriptions tab on the Billing & Subscriptions page:


If you then click on Change plan, you’ll see on the next page (Upgrade Subscription) the preselected Advanced/Premium plan:


Here, you can increase the number of allowed Organisations in your subscription. Volume-based discounts are available:


If you switch to annual billing, you’ll see on the Upgrade Subscription page the newly selected option Yearly Payment:


Additionally, the summary on the right will show both the current and the updated subscription details.

After clicking on PAY NOW, you’ll be charged a pro rata upgrade fee.


This is how the pro rata fee is calculated:

Let’s say you purchased an ApprovalMax for Xero Premium subscription on 1 January and paid 90 EUR for it:

On 14 January (middle of the month), you decide to put one more Organisation on this subscription. For this you need to upgrade. Let’s take a look at how the fees are calculated.

The upgraded subscription will cost 90 EUR x 2 Organisations = 180 EUR per month, which is the fee for the next full billing period. However, when you upgrade on 14 January, you’ll need to pay the upgraded subscription price only for the second half of January, i.e. 90 EUR (180 EUR / 2). Half of the monthly fee already paid for the initial subscription will be refunded as you won’t be using it after the upgrade. Here’s how the line items of the invoice for such an upgrade will look:

On the 14 January, you’ll be charged a 45 EUR pro rata fee for the upgrade; and from the start of the next billing period (1 Feb) you’ll be charged 180 EUR per month.
