How to enable notifications for Requesters

When Bills are pulled into ApprovalMax from Xero, QuickBooks Online or NetSuite, they are created on behalf of a system user called a Requester.

These users will receive notifications about key events such as approvals, rejections, and comments.

If they're not notified, it's usually because their user profile setup was not completed - they were invited but never accepted the invitation to ApprovalMax.

This is how you enable notifications for Requesters with an incomplete user profile:

  • Log out of ApprovalMax if you are currently logged in under your own email address.

  • Go to the ApprovalMax Reset Password page.

  • Enter the Requester's email address (for example, [email protected]) and click on Reset.

  • Check the inbox of the Requester's email address and follow the link to complete the profile setup.

  • Once completed, notifications will start being sent to the Requester's email address.

You can also configure your preferences by enabling the relevant notification options in the Requester's My Profile settings:

Please note: ApprovalMax only sends notifications to users who have been properly invited and who accepted their invitation to complete the profile setup.

Please note: If the Requester's profile is incomplete, they will not receive any system notifications even if they appear in workflows.
