Fraud Detection — changes made after approval

This setting is relevant for Xero Purchase Order, Bill, AP/AR Credit Note and Sales Invoice workflows.

ApprovalMax tracks all changes that are made to a finance document in Xero after the document has been approved in ApprovalMax.

This includes Organisation-wide changes such as Suppliers, Tracking Categories or Accounts.

Organisation Administrators can decide which changes are to be tracked (see screenshot for reference). For example, it can be specified that a change of Supplier won’t be tracked while any change of the amount will.

This is how you activate the feature:

  • Find your Organisation in the main menu and go to Approval workflows under Workflows and settings:

  • Open the respective workflow.

  • Click on the Gear icon


  • In the Fraud Detection section, navigate to the setting Fraud Detection — changes made after approval, and and select the appropriate options:

  • Apply your settings by clicking on SAVE CHANGES in the upper right-hand corner of the Workflow Settings window and update/activate the workflow.

If a change occurs in Xero, a notification email is sent to the Organisation Administrators to make them aware of it. To see what was altered, the Administrator needs to open the respective document in Xero and check its history. The change will be marked as Edited and only the new value is shown.

Please note: Changes are tracked and will trigger a notification even if they’re not visible in the history of specific documents.

To see the details of changes made (and compare both the previous and the new value), open the ApprovalMax audit report and take note of the previous value before checking the new value in Xero.
