What is happening with the Review functionality?
ApprovalMax launched a basic Review and Coding functionality for only Xero Bills in 2017. We have since developed an advanced and new Review and Editing functionality that is more flexible and efficient, and covers most Xero workflows.
Therefore, we're planning to discontinue the support of our old Review functionality.
What is the old Review functionality?
Approvers who were added as a Reviewer to the first step can review and edit Bills during the approval process according to the specified rules:
They can modify these fields:
- Tax
- Account
- Tracking Category
- Quantity
- Price*
- Bill attachments
*The Total Bill Amount for each Line Item should not change if the fields Quantity, Price or Tax are altered.
Bills can only be edited in the very first step of the approval process. There is no specific order for Reviewers to check Bills. However, if a Reviewer makes changes to a Bill that another Approver in the step has already approved, the approval process will restart.
What is the Editing on Approval functionality?
Approvers with editing privileges can change requests during the approval process without having to reject them.
ApprovalMax Administrators and Workflow Managers can grant editing permissions to individual Approvers:
Once enabled, Approvers can edit requests at any stage without restarting the workflow. Mandatory editing of certain fields can be put in place to ensure that essential changes are made.
Additionally, you can restrict Approvers with editing permissions in terms of certain values, as specified in the editing matrix:
