ApprovalMax Capture is available for purchase in the United Kingdom, Australia, New Zealand and the European Union
Please note: Only Stripe-billed subscriptions are supported for now. We are working on adding other billing channels and will roll them out shortly.
Our Public API is generally available for all Organisations under a Premium plan as well as Organisations in trials and in the All Features trial
The ApprovalMax API enables other systems to retrieve data from ApprovalMax and display it in their own systems without any manual action by a person.
This seamless integration facilitates the automation of data transfers by pulling the relevant data, aggregating it based on the client's specific needs, and then presenting it in a format that's in keeping with the client's reporting and analytics requirements. Pushing comments to Xero history is available in beta
When events occur in ApprovalMax – including approvals, rejections and added comments – they are automatically pushed to Xero and recorded in the corresponding section in Xero history:
This feature is supported for Purchase Orders, Bills and Sales Invoices; for AP/AR Credit Notes and Quotes it's currently available in beta. The Review step for QuickBooks Online connected Organisations is now available in beta
ApprovalMax supports the Review step for all QuickBooks Online workflows, a new and independent step that enhances the accuracy and efficiency of your approval workflows.
The Review step is positioned before the Auto-approval step. As this makes it the first step of an approval workflow, it provides a dedicated stage for a thorough review and validation.
This beta feature for QuickBooks Online connected Organisations is available to all customers on request. Once generally available, it will be included in trials as well as Advanced and Premium plans. If you'd like to enable this beta feature for your ApprovalMax Organisation, please contact us.
Key features of the Review step are:
- Configurable assignment rules: define specific rules in the review matrix to assign one or more designated Reviewers to each request before it enters the approval process:
- Comprehensive review process: Reviewers can make necessary adjustments and provide feedback before requests are submitted for approval:
- On-demand returns to the Review step: Approvers can return requests to the Review step for further revision, which ensures that all requirements are met before the final approval:
What's Improved
Delegating editing permissions to Approvers
- If a Substitute already has editing permissions, those will be applied.
- If a Substitute has no editing permissions but the user they're standing in for has, the Substitute will automatically inherit those permissions for the duration of the substitution period.
- If a user who has no editing permissions becomes a Substitute for multiple users who have these permissions, the Substitute will not be able to edit.
Time zone support for the substitution (OOO) period
When Approvers go on holiday, they or the Administrator can assign a Substitute to handle approval requests on their behalf as well as set a start/end date and a time zone for the substitution period.
During this time, all approval requests normally heading to the absent Approver will instead be routed to their Substitute for authorisation.
The dates you set are tied to the time zone of your user profile. If you delegate authority to a colleague in a different time zone, selecting their time zone will ensure the dates are displayed correctly for them.

What's Fixed
Several minor issues have been fixed, and the overall performance and stability have improved.
