How to automatically email Quotes created in ApprovalMax to a Customer
For Quotes created in ApprovalMax, the platform offers the functionality to configure an email that will be sent to the Customer once a Quote has been fully approved. This email is triggered if the checkbox "Automatically email approved Quotes" has been ticked, either manually by the Quote Requester or automatically.
The Quote Requester is responsible for this procedure. To initiate the process, they need to fill in the email form located at the bottom of the Quote creation form:
A PDF document generated by Xero after the final approval as well as any attachments that have been added to the email form (please refer to the Attachments to Customer section) and a link for the customer's decision will be sent to the specified email:
Quotes will be emailed to the Customer as soon as the approval process has been completed successfully.
The Customer can click on the link in the email, view the Quote and make the decision to accept or decline:
