How can Administrators manage Substitutes? (NetSuite)

When Approvers go on holiday, they or the Administrator can assign a Substitute to handle approval requests on their behalf as well as set a start and end date. During this period, all approval requests normally heading to the absent Approver will instead be routed to their Substitute for authorisation.

This is how an Administrator can set up a Substitute for an Approver:
  1. In the main menu, find your Organisation and open the Users page under Workflows And Settings:

  2. Hover over the Approver’s name and click on Select Substitute:


  3. In the pop-up window, click on SELECT SUBSTITUTE:


  4. Then click on Select A Substitute, and set the substitution period and time zone:

  5. When finished, click on DONE to save your changes.
Please note: specifying a substitution period is optional; if set, it includes both the start and end date.
Please notethe dates you set are tied to the time zone of your user profile. If you delegate authority to a colleague in a different time zone, selecting their time zone ensures that the dates displayed are correct for them.
Once a Substitute has been set, the original Approver won't be notified about pending approvals. The Substitute will receive all incoming approval requests intended for this particular Approver while they're absent. If the Substitute is removed before all requests waiting for approval have been authorised, the original Approver will receive notifications about those still pending.

Please note: the Substitute won't see requests approved by the original Approver.
