Can I mention a user in the request?

Yes, ApprovalMax supports the ability to mention users in the request comments.

Who can mention other users in the request?
Users, who has access to the request:
  1. Requester
  2. Approver
  3. Watcher
  4. Admin

Who can be mentioned in the request?
Users from the same Organisation can be mentioned in the request.
  1. If a user has access to a request the mention is colored with green:

  3. If a user is offboarded from the Organisation, the mention will be colored with grey: 

How can I mention a user in the request?
In the comment section of any request irrespective to the document status you can mention other users from your Organisation by typing "@" and choosing the user from a dropdown.
You can search other users by username or email address.
Clicking on the @mention will display pop-up window with some basic user information: 


If a user doesn't have access to a request, you will be suggested to add such user as a Watcher to a request:



What checks are performed and when mentioned user is notified?
After submitting a comment that contains @mention the system will check if mentioned user has access to the document. If the mentioned user already has access, no additional actions are required. However, if the mentioned user does not have access, the user will be prompted to make the mentioned user a watcher to grant access to the document.
  • If access is granted and the comment is saved, notification will be sent to the mentioned user right away irrespective to the profile settings.
  • If access is not granted and the comment is saved, notification won't be sent.
  • If action is canceled and the comment is not saved, notification won't be sent.

Where mentioned are available?
Mention feature is available in web and mobile app under trial and for any subscription plan.
