How to find your draft requests

Draft requests are requests you’ve started but haven’t submitted for approval. This includes requests you created yourself, uploaded via Capture, or received via email.

You can find your drafts in two places in ApprovalMax: the My drafts lists in the main menu, and using the Status filter in the search drawer.

Please note: Drafts are only visible to the person who created them. Administrators and other users in your Organisation can’t see your drafts.

Find your drafts in the main menu

There are two draft lists in ApprovalMax's main menu.

  • My drafts (all) shows your drafts from every Organisation you belong to, in one list. You’ll find it in the top section of the main menu.

  • My drafts shows only your drafts in the Organisation you’re currently working in. In the main menu, select an Organisation from the dropdown. Click on My drafts, below the other request lists for that Organisation.

Search for your drafts

You can use the search drawer to find a specific draft, for example, a draft Bill for a particular supplier or within a date range.

With Search Agent

  • Click on the Search icon in the top right-hand corner to open the search drawer.

  • Type what you’re looking for and include the word “draft”, for example “draft Bills from this month” and click on Search.

  • Search Agent applies the matching filters, shown as tags below the search bar, and displays only your own drafts that match them.

Please note: If you ask for “all statuses” or “any status”, Search Agent leaves drafts out. To include them, mention drafts in your search, for example, “all Bills including drafts”.

Please note: Search Agent is not yet available for Organisations connected to NetSuite.

With manual search

  • Click on the Search icon in the top right-hand corner to open the search drawer.

  • Click on the Filters icon to set the filters manually.

  • In the Status filter, select Draft.

Please note: For Xero, QuickBooks Online and Stand-alone Organisations, you can select more than one status filter per search. For NetSuite Organisations, you can select only one status at a time.

  • Add any other filters you need, then click Search.

  • The results show only your own drafts that match your filters.
