What counts as a document in ApprovalMax Capture for NetSuite?

ApprovalMax Capture uses OCR to extract data from uploaded files and automatically create approval requests. Each processed document consumes one document from your Capture allowance.

What counts as a document?

In ApprovalMax Capture, a document is counted when Capture creates a request in ApprovalMax.

Each request created by Capture consumes one document from your Capture allowance, regardless of whether the request is later approved, rejected, deleted, or identified as a duplicate.

Supported file types include:

  • PDF

  • JPG

  • JPEG

  • PNG

  • BMP

  • TIF

  • TIFF

A supported file does not automatically mean a separate document will be counted. What matters is how many requests ApprovalMax Capture creates from the uploaded file or email.

Does a document count if it is later rejected?

Yes. Once ApprovalMax Capture has processed the file and extracted data, the document is counted, even if the resulting request is later rejected.

Does a duplicate invoice count as a document?

Yes. If a duplicate invoice is uploaded and ApprovalMax Capture processes it, it counts as a document even if the system later identifies it as a duplicate.

This is because ApprovalMax Capture has already analysed and extracted data from the file.

Does a deleted request count as a document?

Yes. Deleting a request after it has been created does not return the document to your allowance. Once the file has been processed by ApprovalMax Capture, it is counted as a document.

What if I upload a file that is not an invoice?

If ApprovalMax Capture processes a supported file type and a request is created, it counts as a document regardless of the file's content.

Examples include:

  • Statements

  • Contracts

  • Credit notes

  • Remittance advices

  • Other scanned documents

To avoid unnecessary document usage, only submit documents that you want ApprovalMax Capture to process.

If an email contains an invoice and other attachments, what counts?

ApprovalMax Capture evaluates supported attachments in an email and determines whether they should be used to create requests in ApprovalMax.

The number of documents counted depends on how many requests are created.

Do unsupported file types count as documents?

No. ApprovalMax Capture only processes supported file formats. Unsupported file types are not processed and therefore do not consume document usage.

Does a document count only after it is submitted for approval?

No. A document is counted when ApprovalMax Capture processes and extracts data from the file.

Submitting, approving, rejecting, or deleting the resulting request does not affect the document count.
