How to check your plan usage in ApprovalMax

Under Tiered Usage-Based pricing, you can view your current plan usage at any time.

There are two ways to view usage, depending on whether you want to see subscription-level or Organisation-level details.

Option 1: Check usage from the Subscriptions tab

This view shows usage for all organisations grouped under the same subscription (same billing cycle and currency).

  • Click your Avatar in the top-right corner and select Billing & Subscriptions:

  • Go to the Subscriptions tab.



  • Locate the relevant subscription card (subscriptions are grouped by billing cycle and payment method).

  • Open the Usage tab within the subscription card:

Here, you can see:

  • The number of Approved Documents used during the selected billing period

  • The number of Active Approvers counted toward your plan

  • The plan size assigned to each organisation (Small, Medium, or Large)

  • The total allowance and how much has been used (e.g. 1 of 300 documents)

Use the date selector at the top of the subscription card to navigate between billing periods.

Option 2: Check usage from the Organisations tab

This view shows detailed usage for one specific Organisation.

  • Click your Avatar in the top-right corner and select Billing & Subscriptions:

  • Go to the Organisations tab:

  • Find the organisation you want to check. In the Usage column, click the status link (e.g., Within limit):

  • This opens the Usage details pop-up for that Organisation:

In the pop-up, you can see:

  • The Organisation’s plan size

  • Document allowance and how many have been used

  • Active Approver allowance and how many are set

  • The current billing cycle dates

Understanding Usage column statuses

In the Organisations tab, the Usage column shows a quick status indicating how close an organisation is to its usage limits.

Possible statuses are:

  • Review trial usage: This status appears when the Organisation is currently in a trial. Click the link to view how many documents and approvers have been used during the trial period.

  • Within limit: The Organisation has used less than 70% of its plan allowance for approved documents.

  • Approaching limit: The Organisation has used more than 70% of its plan allowance and is approaching the plan limit.

  • Above the limit:The Organisation has exceeded its plan allowance by more than 100% for the billing period.
