How to choose the right subscription plan

Choosing the right ApprovalMax subscription plan depends on how your Organisation works.

Under our Tiered Usage-Based subscription model, you select:

  • A feature plan: Standard, Advanced or Premium

  • A plan size: Small, Medium or Large

You can combine any feature plan (Standard, Advanced or Premium) with any plan size (Small, Medium or Large) to match your Organisation’s needs.

When deciding on your subscription, consider:

  • How many documents do you approve each month

  • How many Approvers do you need

  • Whether you require advanced features such as Budget Checking, Bill-to-PO matching or Batch payment processing

If you’re unsure, ApprovalMax also provides recommendations. Start with the recommended size and features based on your trial usage and adjust as your Organisation grows.

Choose your plan size

Your plan size determines how many documents you can send for approval each month and how many Approvers you can include in your Organisation.

Each size includes a set number of documents per month and a limit on Approvers:

  • Small: 100 documents per month, 5 Approvers

  • Medium: 300 documents per month, 10 Approvers

  • Large: 500 documents per month, Unlimited Approve

Choose a size that reflects your expected monthly activity to avoid exceeding your document allowance.

Let ApprovalMax recommend a plan size

When you start a trial, ApprovalMax analyses your usage and suggests a suitable plan size.

To review your trial usage:

  • Go to the Organisations tab under Billing & Subscriptions and click on Review trial usage next to your Organisation:

  • A pop-up shows your trial document count, number of Approvers, estimated monthly usage and recommends a plan size:

  • You can also review this information when purchasing a subscription. Click Review trial usage on the new purchase page to see the same breakdown:

Choose your feature plan

Your feature plan determines which ApprovalMax features you have access to.

You can choose between:

  • Standard: includes core approval workflows, ApprovalMax Capture and ApprovalMax Pay.

  • Advanced: includes everything in Standard, plus added controls and features such as Bill-to-PO Matching, Manual Journal Approvals and Budget Checking.

  • Premium: includes everything in Advanced, plus Batch Payment Processing, Stand-alone Workflows, Public API access and Premium Support

Let ApprovalMax recommend a feature plan

When purchasing a subscription, ApprovalMax will highlight a recommended feature plan in purple:

This recommendation is based on your current setup and usage. You can still select a different plan if it better suits your needs.
