Do attachments and comments added in the comment section sync to my accounting system?

For most cases, attachments and comments added in the comment section are for internal use only and are not pushed to your accounting platform after approval. This applies to all request types in ApprovalMax. Comments remain within ApprovalMax and are not published to QuickBooks Online or NetSuite.

Xero Users

If you are connected to Xero, you have the option to push request comments and attachments directly to Xero. This is controlled by the Send ApprovalMax events to Xero setting, found in the General tab of the Workflow Settings for the following workflows:

  • Purchase Order

  • Bill

  • AP Credit Note

  • AR Credit Note

  • Sales Invoice

  • Quote

When this setting is enabled, comments and attachments will be synced to the corresponding request in Xero and will be visible in the History and Notes section.

Please note: Only comments and attachments added after the request's final approval will be pushed to Xero. Any comments or attachments added before approval will remain within ApprovalMax only and will not be synced.
