How to match Bills to Purchase Orders in ApprovalMax for NetSuite

The current Bill Approver/Reviewer/Requester or an Organisation Administrator/Account Owner can match Bills to approved and not yet closed Purchase Orders with the same Product/Service or Category and Vendor up to the final approval of the Bill.

How to match Bills to Purchase Orders

In the following cases, you can match a Bill to one or more Purchase Orders during Bill creation, editing or review — depending on the workflow setup and approval status.

  1. You are creating a new Bill from scratch

  • Click on the Link icon in the Matched PO field:

  • This will open a pop-up with the Purchase Orders available for matching:



2. You are creating a Bill by copying it from a Purchase Order

  • Matching will be done automatically. Each matched line will be visible in the Bill:



3. You are editing an existing Bill

  • Click on the Matched PO field in any line:



Who can match Bills to Purchase Orders?

The following roles can match Bills to Purchase Orders in ApprovalMax for NetSuite:

  • The Bill Approver

  • The Requester of the matched Purchase Order

  • The Organisation Administrator

When can matching be performed?

  • Matching can be done either while reviewing a Bill or while creating one, depending on your workflow settings and the current status of the request — provided the Bill-to-PO Matching feature is enabled

  • Matching is possible until the Bill is approved or the Purchase Order is closed

  • Only Organisation Administrators can edit matches after Bill approval

Understanding the matching status

  • A Link icon indicates that the line has already been matched to a Purchase Order.
    You can edit any matched lines by clicking on the Link icon to view the details. To remove a match, simply click on REMOVE next to the matched Purchase Order:

  • A Link+ icon means the line is not yet matched but there are Purchase Orders available for matching:

  • Clicking on the Link+ icon will open a pop-up where you’ll see a list of available Purchase Orders and their individual lines. Select the appropriate line, then click on MATCH to apply it to your Bill:
