Is it possible to put requests On Hold?

What does On Hold mean?

The On Hold status allows you to pause a request without cancelling it. A temporary suspension can be useful when you need to gather more information or want to postpone a request until a later date.

The comment you make to explain the reason for your decision will be added to the audit log.




A request that's On Hold won't be up for approval/rejection unless the responsible person revises its status and returns it to On Approval.

Important note: The approval steps are not reset when a request is removed from the On Hold status. So, the approval process will resume from the point where it was paused.

The On Hold functionality is available across both web and mobile platforms of ApprovalMax.

Who can put a request On Hold?

This feature is available to:

  • Account Owners

  • Organisation Administrators

  • Requesters

  • Approvers

Notifications

When a request is placed On Hold or removed from the On Hold status, these users will be notified:

  • Approvers

  • Reviewers (if applicable)

  • Watchers

  • Requesters

On Hold status: restrictions and impact

When a request is placed On Hold, the following restrictions apply:

  • Manual approval, rejection, editing and revoking a decision is not possible

  • Manual restart: requests with the On Hold status cannot be included in the restart of a workflow

Please note: If changes have been pulled from the accounting system, requests will be restarted and remain in the On Hold status. If a request On Hold is subject to Auto-Approval, it will be automatically approved upon meeting the Auto-Approval criteria.

This is how you put a request On Hold

  • Click on the Lock icon in the request:

  • Provide a comment with your reason for placing the request On Hold:


This is how you remove a request from the On Hold status

  • Click on the green Lock icon in the request:

  • Provide a comment with your reason for returning the request to the approval process.

In which plans is the On Hold functionality available?

Currently, ApprovalMax supports the On Hold functionality for:

  • Advance and Premium plans

  • All Features trials
