Limitations for Sales Invoices with auto sales tax

If you are a U.S.-based organisation and create a Sales invoice in Xero using auto sales tax rates, you will see the following warning when trying to approve the invoice in ApprovalMax:

Sales Invoices that use auto sales tax aren’t supported in ApprovalMax.

This means the following functions are disabled:

  • Approve

  • Reject

  • Copy

  • Edit

  • Set on hold

  • Force approval

  • Force rejection

This is due to a limitation in the Xero API. In the U.S., Xero uses Avalara to calculate Auto Sales Tax, and invoices created this way are read-only. Because they can’t be updated through the API, ApprovalMax isn’t able to change their status or push approval decisions back to Xero.

As a workaround, you can:

  • Use manual sales tax rates when creating invoices in Xero, which allows them to be approved through ApprovalMax.

  • Or, approve invoices with auto sales tax directly in Xero.
