The Journal Entry workflow for NetSuite is in General Availability

NetSuite-connected Organisations can now set up and manage Journal Entry workflows in ApprovalMax. This supports the approval of manual accounting adjustments, like fund transfers between accounts, helping keep your financial records accurate and balanced.

The creation of Xero Credit Notes (AP and AR) is in General Availability

ApprovalMax now supports the creation of Xero Credit Notes for both AP and AR by copying from an approved Bill or Sales Invoice, or directly in ApprovalMax.

Previously available in beta for AP Credit Notes only, this feature is now in General Availability for Organisations on the Standard plan and higher, and in trials.




When copying from a Bill or Sales Invoice, the Credit Note is prefilled and includes a system-generated note for Approvers indicating its source:



ApprovalMax Capture for Xero AP Credit Notes is in General Availability

ApprovalMax Capture now supports AP Credit Notes in Xero. This allows automatic data extraction from uploaded documents to create draft Credit Notes with prefilled fields, helping users save time and reduce errors.

You’ll find the Upload to ApprovalMax Capture option in the Files section when creating an AP Credit Note:


Create account groups for Xero Organisations

Available with Advanced, Premium and Partner plans, and in trials

Administrators and Workflow Managers can now create, edit and manage custom account groups. These groups can be applied to workflows in seconds, are updated across all workflows and have full version history tracking.

You can access this feature via the icon in your workflow settings:

What's Improved

We’ve added a Note for Approvers field for documents created in Stand-alone workflows in ApprovalMax

We’ve added a new GRN Status Date field for Purchase Order reports in Xero-connected Organisations

The new GRN Status Date field is in the Visible Columns section of the report settings for all request and line-item reports related to Purchase Orders in Xero-connected Organisations.

This allows you to include the most recent date of the Goods Received Note status in your reports — making it easier to track receipt activity and status changes.




Enhanced calculation of the amount due for Xero users is now in General Availability

The Amount Due field in Batch Payment, Xero Batch Payment and Airwallex Batch Payment requests is now calculated more accurately, using the formula:

Amount Due = Total from Xero – (Amount On Approval + Amount Awaiting Payment + Amount In Processing)

This shows a clearer breakdown in the Details pop-up when hovering over the Amount Due field, and also hides the Pay with ApprovalMax button when there is no remaining balance open.

What's Fixed

In general

  • Fixed an issue with the 2FA setup pop-up where closing it mid-process saved its state, resulting in an invalid 6-digit code generated by the Authenticator app and blocking activation. The setup now restarts from the QR code step if you refresh the page or click Back from the "Enter the code" step, prompting you to scan a new QR code in your authenticator app and enter the newly generated 6-digit code to complete 2FA activation.

  • Resolved a display issue where selecting too many filter items in a request or line item report caused the "Report Setup" button and column headers to disappear. These elements now remain visible and accessible regardless of the number of selected filters.

Xero

  • Resolved an issue where notifications were not sent when a Bill or Batch Payment paid via ApprovalMax Pay failed to be created in Xero. Users will now receive an email notification when a payment attempt is rejected by Xero.
